CertusGate is built for law firms. We understand that information through our platform may include sensitive client data. We take that responsibility seriously and have designed our data practices accordingly.

1. Who We Are

CertusGate is a legal intake and matter management platform developed and operated by Cyvine LLC ("Cyvine," "we," "us," or "our"). Contact [email protected] for privacy inquiries.

2. Scope of This Policy

This Privacy Policy applies to platform users (admins, attorneys, staff) and individuals whose information is submitted through intake forms. It covers certusgate.com, the CertusGate app, and related communications.

3. Information We Collect

Provided directly: account details, user credentials, intake responses, matter data, notes, messages, documents, and payment details processed by third-party processor.

Automatically collected: usage data, technical data, and cookies/similar technologies.

4. How We Use Your Information

We use information to provide and improve the platform, process billing, support accounts, monitor security and abuse, and comply with legal obligations. We do not sell, rent, or trade personal data.

5. Data Ownership

All firm-entered data remains your firm's property. Cyvine processes data solely as a processor on your behalf.

6. Attorney-Client Privilege Considerations

CertusGate is an operational tool. Personnel do not access client communications or matter data except when explicitly authorized for support. Access is logged and limited.

7. Sharing of Information

We do not sell data. We may share with payment processors, cloud hosts, email providers, and analytics tools (aggregated/non-identifying) as needed to run the platform.

8. Data Security

We use industry-standard security controls including TLS, encrypted storage, access controls, authentication, and regular reviews. If a qualifying breach occurs, we notify as required by law.

9. Cookies

We use functional and analytical cookies for sessions, preferences, and usage understanding. We do not use advertising or cross-site tracking cookies.

10. Data Retention

Data is retained while account is active. After termination, export may be requested within 30 days. After 60 days, data is securely deleted unless legal retention applies.

11. Your Rights

Depending on jurisdiction, rights may include access, correction, deletion, restriction/objection, and portability. Contact [email protected]. We respond within 30 days. California residents may have additional rights under CCPA. We do not sell personal information under CCPA definitions.

12. Children's Privacy

CertusGate is intended for professional law firm use. We do not knowingly collect information from individuals under 18.

13. Changes to This Policy

We may update this policy. Material changes are communicated at least 14 days before effective date by email or in-app notice.
